The annual Co-Curricular Year-end Meeting started at 3.30 p.m. sharp on 29 June 2021 through Zoom video platform. The meeting was attended by more than 280 participants, which included advisory teachers and committee members of various Clubs and Societies.

The meeting started with a short and sweet speech by our Principal, Dr Chua Lee Lee. She appreciated all the co-curricular events organised during the pandemic and encouraged all committee members to keep up the good work. Next, the Head of the Co-Curricular Department, Madam Hee Siaw Fuey noted several important points for future co-curricular activities in her speech. These included:

• All clubs will have a year-end meeting on 7 August 2021. During this meeting, members should discuss matters related to learning content, online learning effectiveness, and coaching issues. Members may also elect new committee members and draft next year’s activity proposals.

• When electing committee members, students and teachers must take the club’s structure and management and candidates’ competency into account. There can only be a maximum of two Student Advisors in one club.

• Depending on the state of the pandemic next year, co-curricular activities will be conducted in one of the following three modes: complete online lessons, mixed lessons (one in-school class + one online lesson), or the in-school class.

• Clubs may apply for activity extensions for the 21st and 28th of August. Those who are interested may apply to the Co-Curricular Department via email with a formal letter attached by 15 July. The letter must contain the purpose of extension, number of attendees, parental consent forms (collected through Google Forms), and a list of teachers-in-charge.

• Co-Curricular marks distribution and key-in period.

• Co-Curricular Clubs & Societies Growth Journal.

After that, Ms Lim Bee Hsiang, Assistant Head of the Co-Curricular Department took over to provide a briefing on various club-related financial matters. She first reminded teacher-advisors to collect all members’ club fees before 15 July. Then, she explained the processes for the first and second rounds of expenses applications. After that, she said that Treasurers must balance the accounts in their journal books, as well as acquire the necessary signatures before handing it back to the Co-Curricular Department. Those without a physical journal book must use the temporary book given to complete this procedure.

Once the briefing was over, a Q&A session was held. Many students and teachers from various Clubs and Societies took turns to ask questions and clear up any confusion among the crowd. The Co-Curricular Department teachers answered these questions with patience. After the barrage of questions, the meeting finally ended at around 4.30 p.m. on a high note!
