On 6th May 2021 (Thursday), teachers from the Co-curricular Department conducted a meeting to convey message on the new payment method of 2021 Club Fees. Club Teacher-advisors, Presidents and Treasurers all attended. Regular club members would be notified on Saturday’s activities.

The briefing began with Madam Hee Siaw Fuey, Head of the Co-curricular Department promoting an upcoming virtual seminar on typesetting. Anyone interested is welcome to sign up and join. Further information can be obtained from Kuen Cheng High School’s Facebook page.

MOE declared Selangor, Kuala Lumpur and Putrajaya schools closed one day earlier due to the enforcement of Movement Control Order (MCO) from 7th May to 20th May. And, earlier a few confirmed COVID-19 cases were detected within School. Thus, all co-curricular activities would be held online, coinciding with the club fee payment process which would be done over JomPAY. This sought to overcome the problem of some clubs having insufficient funds after paying off coach fees.

The instructions given by Madam Lim Bee Hsiang, the Assistant Head were simple, and similar to the procedure for submitting school tuition fees.

All club members are to transfer their club fees individually (siblings, too) in the collection period (8th May to 17th May). In JomPAY, the student’s ID should be filled in the Ref-1 row, while their club code and name should be written in the Ref-2 row. After transferring the fees, members need to keep a copy of the transaction receipt. As the school needs time to process paperwork, parents will only receive the official receipt after 30th June.

Next, the Club Teacher-advisors’ workflow was explained. Main club teacher-advisors will need to log completed transactions into the School Administration System based on a name list prepared by the Finance and Co-curricular Departments. On the same day, they ought to fill in a triplet form at the Finance Department. Said name list will then need to be signed and handed to the Club Treasurer for account journal records. It is important that teachers keep track of members who have yet to hand in their fees and rush them accordingly.

For clarity, the Co-curricular Department then illustrated the method for keying club fees records into the School Administration System:
Step 1: Firstly, log into the school administration website. Go to Menu -> Fee Info -> Fee Collection -> Fare (Society).

Step 2: Click ‘x’, then press ‘Enter’ to delete the unused name list below.
Step 3: Enter the Student ID of those who have already paid their club fees one by one.

Step 4: After completing the key in, click “collection”.

Step 5: The record will then be saved in the School Administration System.

Before ending the meeting, Mr Ting Thiam Hock, the Assistant Head reminded everyone that online co-curricular activities will also be held on the 22nd of this month since exams are delayed. Club members who did not attend their co-curricular activities during March and April are also reminded to file for leave of absence.

Mr Ting also took the opportunity to promote the Co-Curricular Carnival, to be held from the 7th till 12th of June. Activities consist of the Classical Music Piano Competition, Talent Show Contest and the Postcard and Bookmark Designing Contest. He also added that contestants of the Classical Music Piano Competition and the Talent Show Contest will have to record their video beforehand and upload it between 15th of May and 1th of June.

The meeting ended with teachers of the co-curricular department encouraging students in attendance to proactively participate in competitions held, as their participation will be recognised whether one wins or loses. This will support university admission application in general.
